This Privacy Policy explains how Veracity GLK Group ("we", "us", "our") collects, uses, shares and protects your information when you use the VeraCity platform — our websites, the VeraCity Hub management application, and the VeraCity Store customer application (together, the "Services").

The Services are business tools for construction-materials distribution, sales, inventory, accounting and workforce management. They are provided to registered businesses and their authorised users (owners, staff, salesmen, dealers, distributors and customers). By using the Services you agree to this Policy.

Information We Collect

  • Account & identity data: your name, mobile number, email address, role, employee/dealer code, profile photo, and the login credentials used to access your account.
  • Authentication data: we send one-time passwords (OTPs) to your mobile number (via WhatsApp) or email to verify your identity when you sign in or reset a password.
  • Business & transaction data: information you or your organisation enter or generate through the Services — products, price lists, orders, invoices, purchase orders, goods receipts, stock and warehouse records, ledgers, payments, expenses, commissions, GST details, leads, complaints, attendance and payroll records.
  • Location data: with your permission, approximate or precise device location is used for map features such as selecting a dealer/site address on a map and route/territory functions. You can disable location access in your device settings.
  • Media you upload: images and documents you add, such as product photos and expense/bill receipts (which may require camera or photo-library access).
  • Device & usage data: device model, operating system, app version, IP address, log and diagnostic information used to operate and secure the Services.

How We Use Your Information

  • To create and manage your account and authenticate your sign-in (including OTP delivery).
  • To provide the Services — process orders, billing/invoicing, inventory, accounting, payroll, CRM and reporting.
  • To send service communications such as verification codes, order/status updates and important notices.
  • To maintain statutory and accounting records (for example GST-related documents) and to comply with legal obligations.
  • To secure the Services, prevent fraud and misuse, and troubleshoot problems.
  • To improve and develop features and analyse usage in aggregate.

How Information Is Shared

We do not sell your personal information. We share it only as needed to run the Services:

  • Within your organisation: authorised administrators and users of your business account can access data according to their assigned roles and permissions.
  • Service providers: trusted third parties who process data on our behalf, including cloud hosting, the Meta WhatsApp Business (Cloud API) for OTP delivery, Google Maps Platform for map and location features, and email delivery providers. These providers may process data under their own terms and privacy policies.
  • Legal & safety: when required by law, regulation, legal process, or to protect rights, property and safety.
  • Business transfers: in connection with a merger, acquisition or asset sale, subject to this Policy.

Data Retention

We retain information for as long as your account is active and as needed to provide the Services, and thereafter as required to meet legal, tax and accounting obligations or to resolve disputes. Business records such as invoices and ledgers may be retained for the periods required by applicable law.

Data Security

We use reasonable technical and organisational measures to protect your information, including encrypted transport (HTTPS/TLS), role-based access controls and authentication safeguards. No method of transmission or storage is completely secure; you are responsible for keeping your login credentials confidential.

Your Rights & Choices

  • You may access, review and update your profile information within the app.
  • You may request access to, correction of, or deletion of your personal data, subject to records we must retain by law. Because most data is owned and controlled by your organisation's account, such requests may be directed to your organisation's administrator.
  • You can manage device permissions (location, camera, notifications) in your device settings.

Children's Privacy

The Services are intended for business use by persons aged 18 and above. We do not knowingly collect data from children.

Data Location

Your information is processed and stored on servers that may be located in India and/or with our cloud providers. By using the Services you consent to such processing.

Third-Party Services

The Services rely on third-party platforms (for example Meta WhatsApp and Google Maps). Your use of features powered by them is also governed by their respective terms and privacy policies.

Changes to This Policy

We may update this Policy from time to time. The "Last updated" date shows the latest revision. Continued use of the Services after changes take effect constitutes acceptance of the updated Policy.
